The right shipping route depends on weight, volume, value, destination, product type, urgency and the buyer’s ability to handle customs. There is no single “cheapest courier” for every shipment.
Always request the quote in writing. Confirm whether the price includes pickup, export handling, freight, insurance, customs clearance, duties, taxes and final delivery.
Compare the main shipment routes
| Route | Good for | Questions to confirm |
|---|---|---|
| International express courier | Samples and compact small orders where tracking and speed matter | Volumetric weight, customs handling, destination fees and prohibited items |
| Postal parcel or EMS | Eligible merchandise where cost matters more than premium speed | Service availability, tracking, customs declaration and delivery limits |
| Freight forwarder | Larger cartons, pallets, consolidated or repeat shipments | Origin charges, freight basis, destination handling and customs broker |
| Third-party exporter | The supplier does not manage export paperwork or several suppliers must be consolidated | Exporter of record, invoice party, responsibility for documents and insurance |

Information needed for a shipping quote
- Product description in plain language
- Quantity and unit value
- Number of cartons or packages
- Carton length, width and height
- Gross weight and net weight
- Pickup location in India
- Destination address and postal code
- Whether the shipment is a sample, sale or commercial order
- Whether the product contains liquids, batteries, magnets, wood, animal material or other restricted components
- Whether insurance, inspection or special handling is required
Packaging checks before handover
- Use a strong outer carton suitable for the route and expected handling.
- Fill empty space so products cannot move inside the carton.
- Protect individual items from scratches, moisture and compression.
- Use inner cartons for jewellery, leather accessories and small fragile goods.
- Photograph the packed shipment and record carton count and weight.
- Make the product description and quantity consistent across the invoice, packing list and courier declaration.
Customs, duties and taxes
Destination customs may assess duties, import taxes, brokerage or other charges. These are determined by the destination country, product classification, declared value, origin and applicable trade rules. A courier shipping charge is not automatically a duty-paid delivery.
Ask explicitly:
- Is the quote EXW, FOB, CIF, DAP or DDP?
- Who will act as importer of record?
- Who will pay destination duties and taxes?
- Who will respond to customs questions?
- What happens if customs requests a licence, certificate or product information?
- Who pays storage or return charges if clearance is delayed?
ICEGATE provides Indian Customs online services, and DGFT publishes India’s foreign-trade procedures. The buyer should also check the destination country’s customs authority and use a local customs broker where required. ICEGATE · DGFT.
Do not misdescribe a commercial shipment
Do not describe a sale as a personal gift merely to avoid duties, and do not accept an artificially low declared value. Accurate descriptions and values help the carrier and customs authority process the shipment and reduce the risk of delay or dispute.
When to use a third-party exporter
A third-party exporter can be useful when the supplier sells domestically, several suppliers must be consolidated, or the buyer needs one party to coordinate export documentation. Before accepting the arrangement, confirm who receives payment, who issues the commercial invoice, who owns the goods during transit and who is responsible for claims.
Important: Courier availability, customs rules, duties and taxes differ by product and destination. Obtain a current written quote and destination-specific customs advice before dispatch.
